Aonta Professional Accounting Corporation (“Aonta,” “we,” “us,” or “our”) is committed to protecting the personal information of our clients and the individuals connected with them, such as directors, shareholders, and employees. This Privacy Statement explains what personal information we collect, why we collect it, how we use, disclose, and protect it, and how you can contact us with questions or concerns.

This Statement applies to personal information collected in the course of providing compilation engagement, accounting, and income tax services. It is intended to comply with British Columbia’s Personal Information Protection Act (PIPA) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

Who is responsible for your personal information

Grant Davidson, CPA, is the Principal of Aonta Professional Accounting Corporation and is responsible for the firm’s compliance with this Privacy Statement and applicable privacy laws. Questions, requests, or concerns about your personal information can be directed to him using the contact information at the end of this Statement.

What personal information we collect

Depending on the services we provide to you, we may collect:

  • Contact information — name, title, address, phone number, email
  • Business information — legal and trade names, incorporation details, directors, shareholders, and ownership percentages
  • Financial and accounting information — bookkeeping records, trial balances, financial statements, banking institution names, loan and lease details
  • Tax information — business numbers, GST/HST numbers, Social Insurance Numbers where required for personal tax filings, and relevant CRA correspondence
  • Identity verification information — a copy of government-issued photo identification, collected as required by our professional obligations
  • Information about related parties, predecessor accountants, and other matters relevant to your engagement

We collect this information directly from you, and in some cases from publicly available sources such as corporate registries, or, with your consent, from a predecessor accountant.

Why we collect your personal information

We collect and use personal information to:

  • Provide compilation engagement, accounting, and tax preparation services
  • Meet our obligations under Canadian professional standards, including CSRS 4200, and the requirements of CPA British Columbia
  • Verify the identity of our clients, consistent with our firm’s professional and ethical obligations
  • Communicate with you about your engagement
  • Meet legal and regulatory requirements, including those of the Canada Revenue Agency

Consent

By engaging our services, submitting our client intake questionnaire, or otherwise providing us with personal information, you consent to its collection, use, and disclosure as described in this Statement. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us. Withdrawing consent may affect our ability to continue providing services to you, and will not affect information we are required by law or professional standards to retain.

How we disclose your personal information

We do not sell or rent personal information. We may disclose it to:

  • The Canada Revenue Agency and other government bodies, as required for tax filings or by law
  • A predecessor or successor accountant, with your consent
  • Third-party service providers who support our operations, under confidentiality obligations
  • Professional regulators, such as CPA British Columbia, where required for practice inspection or regulatory purposes
  • Any other party, where required or permitted by law

Service providers

We use a small number of trusted third-party service providers to help deliver our services, including software for engagement and tax preparation, secure file exchange, cloud accounting platforms, and IT support. These providers are selected based on their security practices and are required to protect your information and use it only for the purposes we authorize.

How we protect your personal information

We take reasonable steps to protect personal information against loss, theft, and unauthorized access, use, or disclosure, including:

  • Secure, encrypted channels for exchanging confidential documents
  • Password management and antivirus / cybersecurity tools
  • Restricting access to personal information to authorized individuals
  • Regular, redundant data backups
  • Confidentiality obligations for any service providers with access to your information

No method of storage or transmission is completely secure, and we cannot guarantee absolute security — but we are committed to maintaining safeguards appropriate to the sensitivity of the information involved.

How long we keep your personal information

We retain engagement documentation, including any personal information it contains, for a minimum of seven years from the date our services are completed, consistent with professional standards and legal requirements. Information is securely disposed of when it is no longer required.

Your rights

Subject to limited exceptions permitted by law, you have the right to request access to the personal information we hold about you, and to request that we correct any inaccuracies. To make such a request, please contact us using the information below.
